Job description

The HR Manager will work in partnership with the Head of People to help shape the way
 we manage our people and grow our brand.

The HR Manager is responsible for leading accurate, timely, and compliant payroll operations while also providing strategic HR partnerships with local managers. This hybrid role ensures operational excellence in payroll and contributes to organizational effectiveness through workforce planning, talent management, employee engagement, and HR strategy development.

The position will be both strategic and operational, acting as a business partner to the management team and supporting the delivery of the regional strategy in line with the global HR Strategy.

This is a new position and an exciting opportunity for those who wish to cultivate an HR career, both in payroll and HRBP roles, at a global company. Our HR jobs will involve frequent interaction with our worldwide HR team members in the UK (HQ) and Italy.

It will require an individual with considerable passion, creativity, ability, agility, and organizational skills.

Key Role and Responsibilities:

Payroll Operations

  • Manage end-to-end payroll processing for all employees (monthly, bonuses, overtime, allowances, etc.).
  • Ensure payroll accuracy by validating data such as working hours, leave records, new hires, transfers, maternity leaves, and terminations.
  • Maintain payroll systems and ensure proper data integrity.
  • Coping with year-end tax adjustment (Nenmatsu chosei)
  • Deal with statutory reporting and tax audit
  • Work in partnership with the external services providers, including the global and the local payroll services provider, the life insurance company, and the time & attendance services company.

Compliance & Audit

  • Ensure compliance with local labor laws, employment regulations, and tax requirements.
  • Prepare and support internal and external payroll audits.
  • Maintain accurate payroll documentation and employee payment records.

Process Improvement

  • Evaluate and improve payroll procedures for greater efficiency and accuracy.
  • Implement automation or system enhancements in collaboration with HRIS and IT teams.
  • Develop and update payroll policies and manuals.

Communication & Support

  • Serve as the primary contact for payroll-related inquiries from employees and management.
  • Provide timely explanations and resolutions for payroll discrepancies.
  • Collaborate with HR and Finance on budgeting, benefits administration, and headcount planning.

Reporting & Analysis

  • Prepare payroll-related reports (labor cost summaries, overtime analysis, monthly payroll reports).
  • Support financial closing, forecasting, and audits with payroll data.
  • Monitor and report key payroll metrics and trends.

HR Business Partner

  • Support the Head of People in the development and delivery of the People Strategy, in line with brand strategy - managing and delivering ww and regional HR projects.
  • Supporting Japan employees in all aspects of HR, recruitment, talent management, employee relations, engagement, and advice
  • Ensure that the vision of the brand is communicated fully, and our brand values and culture are developed throughout the organisation, and we attract the right people to join us
  • Build trust amongst teams and individuals through delivering credible advice and listening to people
  • Ensure that our compensation packages are competitive and propose new and forward-thinking compensation/ reward strategies where applicable
  • Develop and embed HR practices which reinforce our culture and our employer branding
  • Provide advice and guidance to managers on employee relations and performance management issues, ensuring a consistent level of service and approach is taken
  • Regularly visit the store locations when circumstances are appropriate and ensure the well-being of our retail employees

Requirements

-5+ years of payroll experience, including 2+ years in a supervisory or managerial role.
-Experience with payroll software (e.g., Workday, SAP or other HRIS/ERP systems).
-Strong knowledge of payroll processes, labor law, and tax regulations.
-Excellent attention to detail and problem-solving skills.
-Ability to manage confidential information with integrity.
-Strong communication and interpersonal skills.
-Proficiency in Microsoft Excel and payroll analytics.
-Ability to work under tight deadlines and manage multiple priorities.
-Experience in multinational organizations or global payroll environments.
-Holding the Labour and Social Security Attorney (Sharoushi) is an advantage
-Good organizing skills with attention to detail and confidentiality
-Excellent communication skills in Japanese and English
-High skill in English (TOEIC: over 700 or equivalent)
